    About VC Office

    The Office of the Vice Chancellor of DIU consists of a small team that supports the Vice Chancellor in the leadership and management of the University. The team works with Deans, Division Heads, Directors and other staff to ensure a high standard of service to the running of the university. It also provides advice and assistance to the University community on behalf of the Vice-Chancellor.

      Meeting of the Deans Committee

      About Deans' Committee:

      According to the instruction of the University Grants Commission (UGC) of Bangladesh, a Deans' Committee is formed with senior academicians to oversee and monitoring academic activities of the university.

      Deans' Committee meetings:

      Meeting of Deans Committee usually holds twice in a month one is in the 1st week of the month and the other hold in the last week of the month to discuss varies matters of the academic side.


      Terms of Reference (TORs) of Deans' Committee

      1. To monitor academic activities of the University
      2. To facilitate the functioning of the Quality Enhancement Cell of the University
      3. To deliberate and give recommendations on any matter referred by a University body/authority.
      4. To discuss new program and syllabus before place the meeting of the academic council


      Circulation of meeting notice:

      After collecting the possible agenda it needs to be placed to the Honorable Vice Chancellor for his kind review and consent to arrange the meeting of the Deans Committee to solve the academic issues raised by the concerned persons. With the consent of Vice Chancellor, VC office send the meeting invitation to all the members of Deans Committee with scanned copies agenda including supporting documents for their understanding before 2 days.

      About Management Committee:


      A guide to the key responsibilities of an organization’s management committee, trustees or other governing body.
      Every community organization has a group of people which manages its affairs – a governing body. This is often called a management committee. A very small group may not have a separate committee and, in this case, its entire membership is the governing body.
      Here we use the term management committee to describe the governing body of any community group.

      Specific responsibilities

      The management committee may need to consider some or all of the following specific responsibilities:

      • Working together and making decisions
      • keeping the group on track
      • Planning and development
      • Finances
      • Fundraising
      • Quality and Diversity
      • Health and Safety, Safeguarding and insurance
      • Oversee administrative activities
      • Regulations and licences

      Management Committee meetings:

      Meeting of Management Committee usually holds twice in a month one is in the 2nd  week of the month and the other hold in the last week of the month to discuss varies matters of the academic and administrative side.

    • Joint Committee

      Meeting of the Deans Committee and DIU Management Committee

      With the consent of Honorable Vice Chancellor sir, sometimes we arrange the joint meeting of Deans & Management committee to resolve the issues related to the academic and administrative activities. Usually the meeting of joint committee hold once in a month.  

      Process of arranging a meeting:

      1. Need to fix a date for the meeting and circulate the meeting notice among all members of the joint Committee.

      2. Need to scan all supporting documents and send to the members of the joint committee for their kind observation.  

      3. During the meeting someone of VC office needs to be taken notes and prepared meeting proceedings 

      4. Send draft proceedings to Honorable Vice Chancellor for his kind observation and review. after his confirmation the proceedings will be circulated among all members for information and necessary steps to implement the meeting decisions.

      Follow up and Implementation

      1. After circulating memorandums with deadline VC office would follow up the pending decisions and communicated with assigned persons to implement the decisions.

      2. Need to prepare a progress report of the decisions of the meeting.

    • Meeting with All Deans and Heads

      To share with the Deans of the faculties and Heads of the department regarding update academic and administrative information, VC office usually arrange meeting with Deans and Heads twice in a month.  

      Process of arranging a meeting as before.


    • Proceeding of all special meetings

      Special Meetings

      Besides the meeting of Deans Committee and DIU Management Committee, to settle the day to day problem we arrange special meeting more than 5/6 times  in a month as .

    • Meeting of Syndicate

      About Syndicate 

      Syndicate committee is the approval authority of the activities of Academic and administration. The committee is formed with top management of the university, Vice Chancellor nominated 3 members, UGC nominated member,  one member nominated by Ministry of Education and 3 members nominated by BoT. 

      Meeting of the Syndicate usually holds once in a semester (4 months) with the prior consent of the Honorable Chairman, BoT.

    • Memorandums

      After circulating meeting proceedings, we have to prepare and send memorandum to the assigned person to implement the meeting decisions with a deadline.  

      VC office follow up with the assigned persons to collect documents/report/proposal according to the memorandum

    • Letter and Communication

      At DIU, we organize different programs across our campuses over the year.  The programs are Convocation Ceremony, Founding Anniversary, Family Day, Workshops, Seminars and national and International events. For inviting Chief Guest and Special Guests from Government, Top of institution, Invitation letter needs to be sent through the signature of the Honorable Vice Chancellor. 

      A letter is a written message conveyed from one person to another person through a medium.

      The following Letters has to sent from VC office:

      1. Invitation letter
      2. Thinking Letter
      3. Congratulation Letter
      4. Letter of Appreciation and Gratitude
      5. Condolence letter

    • Meeting of the Teachers Selection and Promotion Committee

      In response to the application of the faculties and admin employees for the next senior position, HR section fix the schedule for the meeting of selection and promotion committee. During all meetings of the selection and promotion board VC office involved in preparing documents, marking sheet, calling internal and external members, sending email & SMS to applicants regarding dates and time of the Board and arranging refreshment for both.  

    • Meeting of Academic Council

      About Academic Council 

      Subject to the control and approval of the Governing Body, the Academic Council is responsible under the University's Act for the academic quality and standards of the University and the admission and regulation of students. The meeting of Academic Council holds once in a Semester. 

      The Academic Council shall consist of the following:

    • The Vice-Chancellor - Chairman
    • The Pro-Vice Chancellor
    • The Treasurer
    • The Deans of the Faculties
    • The Registrar
    • The Controller of Examinations
    • The Heads of the Departments
    • The Professors
    • The Directors of All Divisions
    • UGC nominated members
    • The members from the ministry of Education
    • The Vice-Chancellor may co-opt members, persons having special knowledge or experience in the subject matter of any particular business which may come before the Council for consideration.

    • Powers and duties of Academic Council

      The Academic council shall have the power:

      • To advise the Syndicate on all Academic matters
      • To make University Ordinance for the proper conduct of teaching, research and examination and for promoting academic life in the University.
      • To lay down conditions under which the students may be given admission to the various courses of studies and the examinations held by the university
      • To propose to the Syndicate schemes for constitution of University, Departments and Boards of Studies
      • To deal with University teaching and to make proposals for the planning and development of teaching and research in the University
      • To prescribe, subject to the approval of the Syndicate and upon the recommendation of the Boards of Studies and the Faculties, the courses of Studies the syllabuses and the outlines of texts for all the examination. Provided that if the recommendations of a Board of Studies or Faculty are not available to the Academic Council by the tenth of April each year, it may subject to the approval of the Syndicate, continue for the next year the courses of studies already prescribed for the examination
      • To recognize the examinations of other University or Boards or Institute as equivalent to the corresponding examinations of the University
      • To make University Ordinances for the award of Fellowships, Scholarships, Medals and Prizes.
